Automation

Process automation in Barcelona: when it pays off

Almost nobody automates because it is fashionable. It happens when somebody adds up the hours spent moving data from one place to another and gets a fright.

The question companies here send us is not "what is this?" but "is it worth it for me?". Process automation in Barcelona is decided with a fairly simple sum, and this article is that sum: when it adds up, when it does not, and which process we would start with.

Barcelona: a million service jobs and small workplaces

Barcelona holds 1,111,015 registered jobs, 1,013,635 of them in services, plus 148,100 self-employed workers. The figures come from Idescat's municipality-in-figures portal.

The detail that matters most here is size: 155,750 of those jobs are in workplaces with up to nine employees and another 215,365 in workplaces of ten to forty-nine. And the property, technical and administrative activities block generates 23,462.6 million euros of added value a year.

In plain terms: thousands of practices, agencies, distributors, clinics and installers of under fifty people, with office processes, and no systems department to tidy them up. That is exactly where a small automation shows up the following month.

The sum that decides whether process automation in Barcelona is worth it

The calculation we run before automating a process in Barcelona

You need three things and you already know all three:

  1. How long the task takes once.
  2. How many times it happens per month.
  3. What an hour costs for the person doing it.

For the third one there is no need to invent anything. Our own pricing page says it: a technician with two or three years of experience earns between €22,000 and €28,000 gross a year in Catalonia and, adding the employer's social security, the real cost goes above €1,500 a month. On a normal working year that puts the hour at around €20 of cost to the company, and for office roles in Barcelona that falls short more often than it overshoots.

From there it is simple arithmetic. Forty minutes a day processing orders, five days a week, is about 14 hours a month: close to €280 monthly, nearly €3,400 a year. Automating that process rarely costs that much, and from the second year on it costs nothing.

The mistake of counting hours only

The sum above is the cheap part. What usually takes the bigger bite is the rest:

  • Errors. A row copied wrong, last year's price, an order shipped to another customer's address.
  • Waiting. The quote that goes out the next day because whoever writes it was busy. In Barcelona that day is the difference between a yes and a no.
  • Dependence. If only one person knows how to do it, their holiday is a company problem.

If the task shows up in two of those three, the sum is already made even if the hours do not add up on their own.

The three bottlenecks we run into most in Barcelona

The order that arrives through five different places

Email, WhatsApp, phone, the website form and a large customer's portal. Five inlets and one notebook. What gets automated is not "selling": it is collecting all five in the same place, in the same format, with an alert when something goes unanswered.

The data typed in twice

The classic. It goes into one program, gets exported, gets pasted into another. Every time a piece of data is typed twice there is an automation waiting. And note: you almost never need to change program. Usually it is enough for the two you already have to talk to each other.

The invoice that has to be uploaded to the customer's portal

Working with large companies and public bodies in Barcelona means portals, formats and deadlines. On top of that, invoicing is heading towards being system-verified across the board: the Spanish tax agency explains it on its page about invoicing software systems. A good moment to stop doing that part by hand.

Off-the-shelf tool or your own development

The rule we use is simple and does not always favour us: if a market tool covers ninety per cent of it, buy it. Pay the subscription and move on.

Custom development comes in when programs that do not talk to each other have to, when the process is the thing that makes you different, or when the tool of the day forces you to change how you work to fit it. That is what our custom software in Barcelona is about, and the full criteria are in when custom software pays off.

Where we would start in a Barcelona company

  1. One week with a notebook. Write down what gets done, how long it takes and how many times. Without this, everything else is opinion.
  2. The most boring, most repeated task, not the flashiest. Boring is what has clear rules.
  3. One single thing, genuinely working, before touching the second.
  4. An alert when something breaks. A silent automation that fails is worse than not having it.
  5. Put in writing what it does, who checks it and what happens if it goes down.

The whole order, with examples, is in process automation: where to start. And if you are tempted to put artificial intelligence in the middle, go through which tasks to automate with AI first, which comes with a four-question filter for not buying smoke.

How long it takes and what you need to provide

A small automation —two programs passing data, an alert, a report that sends itself— is built in weeks, not months. What sets the pace is not the programming: it is somebody at your company explaining the process properly, exceptions included, because there always are some.

Three things are needed from your side: a person who knows the process, access to the programs involved, and half an hour a week to check how it is going. Nothing else.

What process automation in Barcelona costs

This service does not run on a monthly fee. Our pricing page puts it plainly: process automation, custom software, AI integration and training and the AI audit are quoted per project, with a fixed price agreed in writing before starting. The price depends on what has to be built, and you know it before we begin.

What does have published rates is the website and presence side: €100 a month for the one-page landing, €200 for the site with up to ten subpages, and €400, €750 and €1,500 for the plans adding articles, Google profile, reviews and campaigns. Excluding VAT and with no lock-in.

And if you are looking at grants, the Spanish Kit Digital programme has a process management category. It does not cover everything, but it is worth checking before commissioning anything.

What to look at after three months

Three numbers, none of them technical:

  • Hours. The same ones you wrote in the notebook, counted again.
  • Errors. How many times something had to be redone.
  • Response time. How long it now takes to answer a quote or get an order ready.

If those three do not move, the automation was not worth it and somebody has to say so. It happens, and it is better to see it at three months than at three years.

What can go wrong

  • Automating a bad process. You get a bad process, but faster. Tidy it first, automate afterwards.
  • Nobody watching it. With no error alert, the day it stops working you find out from a customer.
  • Depending on one person, now in digital form: if only you know how it is put together, the problem is still there.

We work from Palamós, with clients in Barcelona

We are in Palamós, an hour and a half away, and we look after companies in Barcelona. Understanding a process takes a meeting with the person who actually does it, and we hold that wherever it needs to happen; the rest works just as well from here, with short meetings and things you can see running.

If you want a first opinion, send us on WhatsApp the two tasks that eat the most time every week. We will tell you whether they can be automated, with what, and whether it is worth it. No strings, same day.

Tell us what you need and we'll give you a price

We reply the same day. No commitment, no sales pitch.

FAQ

Frequently asked questions about process automation in Barcelona

When is automating a process worth it?+

When the task repeats, has clear rules and errors are cheap to spot. The quick sum is three figures you already know: how long it takes, how many times a month it happens and what an hour costs for whoever does it. Forty minutes a day is around fourteen hours a month, and from there automation usually pays for itself in under a year.

What does process automation in Barcelona cost?+

It is quoted per project rather than as a monthly fee: the price depends on what has to be built and is agreed in writing before starting. The same goes for custom software and the AI audit. The website and presence side does have published rates, from €100 a month plus VAT.

Do I need to change my management software?+

Almost never. Most automations consist of the programs you already have passing data between them instead of somebody typing it twice. Switching tools only pays off when the current one has genuinely fallen short, and that is a separate decision.

How long does it take to build an automation?+

A small one —two programs passing data, an alert, a report that sends itself— takes weeks. What sets the pace is not the programming but somebody at the company explaining the process, exceptions included, because there always are some.

Is the Kit Digital grant useful for this?+

The programme has a process management category, so it is worth checking before commissioning anything. It does not cover every kind of development nor the full amount of a large project, but on small automations it can cover part of it.

Does the company building it have to be in Barcelona?+

Understanding the process takes at least one meeting with the person who does it every day, and we hold that in person. The rest —building, testing and adjusting— works just as well remotely. We are based in Palamós and travel to Barcelona when the project calls for it.
